2. Products
Manage your entire product catalog — from adding new items to bulk updating existing ones.
Adding a New Product
- Go to Catalog > Products and click Add Product.
- Choose the product type (Simple, Configurable, Grouped, Bundle, Downloadable, Virtual, or Booking).
- Fill in general information — Name, SKU, URL key, status, channel visibility, tax category.
- Set pricing — Price, special price, cost price, and tax class.
- Upload images — Add a base image, gallery images.
- Configure inventory — Set stock status, quantity per inventory source, backorder settings.
- Set weight & dimensions — Required for shipping calculations.
- Save the product to publish it.
Tip: Copy an existing product by clicking the Copy action in the products grid.

Inventory Management
Each product can have stock tracked across multiple inventory sources (warehouses). On the product edit page, go to the Inventory section to:
- Set the stock status (In Stock / Out of Stock)
- Set quantity per inventory source
- Manage backorder settings
- Set a notification threshold for low stock alerts
Important: Product weight and dimensions are used by carrier APIs for shipping rate calculation. Always set accurate values.
3. Product Types
MerchXO supports 7 product types to cover virtually any selling scenario.
Simple Basic
A standalone physical product with no options.
Configurable Popular
Products with selectable variants (size, color).
Grouped
A collection of related simple products displayed as a group.
Bundle
A set of products/options the customer assembles.
Downloadable
Digital products delivered as file downloads.
Virtual
Non-physical products like services or memberships.
Booking Advanced
Time-slot or appointment-based products with 5 sub-types.

4. Categories
Categories organize your products into a browsable tree structure using a nested set model for efficient hierarchical queries.
- Create: Go to Catalog > Categories, click the root or a parent, then "Add Category"
- Edit: Click any category in the tree to edit name, description, image, and SEO fields
- Reorder: Drag and drop categories in the tree view
- Delete: Select and delete (products moved to parent category)
Tip: Each category can have its own SEO meta title, meta description, and URL key.
5. Attributes & Attribute Families
Attributes define product properties using an EAV (Entity-Attribute-Value) model. Attribute families group attributes into templates.

Each family contains one or more groups that organize attributes into tabs on the product edit page.
6. Orders
View, manage, and fulfill all customer orders from Sales > Orders.
Order Statuses

7. Invoices
An invoice is a formal record of a sale, created after orders are confirmed.
Creating an Invoice
- Go to Sales > Orders and open an order
- Click the Invoice button in the order actions
- Review the invoice details — items, quantities, totals
- Click Submit to generate the invoice
Invoice Options: Print as PDF, Email to customer, View details and status.
Tip: Configure automatic invoice number formatting under Sales > Invoices in Settings (e.g., INV-2026-000001).
8. Shipments
Shipments record the physical dispatch of order items. MerchXO supports carrier integration for automatic tracking number generation.
Creating a Shipment
- Open an invoiced order with items available to ship
- Click Create Shipment
- Select the carrier from the dropdown
- For EasyPost: Click "Get Rates" to fetch live carrier rates, then select the desired rate
- Select the inventory source (warehouse) to ship from
- Set quantities for each item
- Submit — tracking number is auto-generated
EasyPost Rate Selection: Click "Get Rates" to see all available carrier rates (USPS, UPS, FedEx, DHL). Pick one, and the system automatically buys that rate and saves the tracking number.

Editing Shipping Address: You can edit the shipping address on an order if it hasn't been fully shipped yet.
9. Refunds
Refunds return money to customers for returned or canceled items. Partial refunds are supported.
- Open a completed order from Sales > Orders
- Click Create Refund
- Select items to refund and quantities
- Choose refund method (original payment or offline)
- Add a refund comment (optional) and submit
Note: Refunds are only available for orders that have been invoiced.
10. Bookings
Manage all reservations for booking products.
- View all bookings with status filters
- Approve, reject, reschedule, or cancel bookings
11. Customer Management
Manage all registered customers from Customers > Customers.
Customer profiles include: General Info, Addresses, Orders, Reviews, Notes, and Wishlist.
12. Customer Groups
Segment customers for targeted promotions: Guest, General (default), Wholesale (custom).
Tip: Use customer groups with Catalog Rules to offer group-specific pricing.
13. Product Reviews
Customers can submit product reviews with star ratings. All reviews go through moderation.
Actions: Approve, Disapprove, Edit, Delete, Mass Update. AI translation available with MagicAI.
14. GDPR Compliance
Built-in GDPR features: Data Export, Data Erasure, Cookie Consent, Privacy Policy agreement.
Manage all GDPR requests from Customers > GDPR.
15. Cart Rules & Coupons
Create discounts and promotions applied at checkout, triggered automatically or via coupon codes.

Create a template, link it to a system event (e.g., "New Order"), and the email is automatically sent when the event fires.

23. Shipping Methods

Important: The shipping origin address MUST be configured under Configuration > Sales > Shipping Settings > Origin for live-rate carriers to work.
EasyPost Rate Selection: Select EasyPost, click "Get Rates", pick a rate from the list, and the system auto-purchases it and saves the tracking number.
24. Tax Management
Setup: Create Tax Rates → Create Tax Categories → Map Rates → Assign to Products → Configure Calculation.
Calculation methods: Based on Shipping Origin, Billing Address, or Shipping Address.
